My Email is Marked as Spam – How to Prevent This

If your email is ending up in the spam folder, it can impact your ability to reach your clients and customers effectively. Here are some tips to prevent your emails from being flagged as spam, including how you can use Kumacloud's spam filters to improve deliverability.

1. Authenticate Your Email with SPF, DKIM, and DMARC

Setting up SPF, DKIM, and DMARC records for your domain is one of the best ways to prove that your emails are legitimate. These records help email providers verify that your emails are not forged. Here's a quick overview of each:

  • SPF (Sender Policy Framework): This record lists the servers allowed to send emails for your domain.
  • DKIM (DomainKeys Identified Mail): DKIM adds a digital signature to each outgoing email, proving the email is authentic and unaltered.
  • DMARC (Domain-based Message Authentication, Reporting & Conformance): DMARC builds on SPF and DKIM, telling email providers what to do if an email fails authentication checks.

To activate or configure spam filtering on your account, visit your Kumacloud Dashboard and go to Email Settings.

3. Avoid Common Spam Triggers

  • Use a clear, personalized sender name (e.g., "John at Kumacloud" instead of "sales" or "info").
  • Write a concise and relevant subject line that avoids excessive capitalization or punctuation (e.g., "50% OFF!!!").
  • Limit the use of links and avoid linking to blacklisted domains.
  • Check your email content for spammy phrases like "earn money fast" or "limited-time offer."
  • Ensure proper text-to-image ratio. Avoid large images with minimal text, as this can trigger spam filters.

4. Send Emails from a Reputable IP Address

If you are using your own IP for email delivery, make sure it has a good reputation. Avoid sending bulk emails from IP addresses that are new or have been flagged as suspicious.
